Data protection policy

We are pleased that you are interested in our companies, products, and services and would like you not to have any cause for concern regarding the protection of your personal data when visiting our Internet pages.

The protection of your data is important to us

We take the protection of your personal data very seriously. This policy outlines the information we will collect, and how we will use and share that information.

Personal data

Personal data is information about your identity. To use our Internet pages, it is generally not necessary to disclose any personal data. However, there may be cases where we ask for personally identifiable information such as your name, mailing address, e-mail address, and telephone number so that we can provide the services requested. For example, we may require personal data in order to send company literature or to reply to individual questions.

Such personal data will only be recorded, processed, and used if you have made the information available to us voluntarily. Further, if you make use of any of our services, we will record, process, and use only the personal data that is required to fulfill these services.

Use of personal data

We will record, process, and use personal data made available to us online by you only for those purposes communicated to you.

We will only transfer personal data to those governmental institutions and authorities that are entitled to receive such information, and will only do so within the scope of relevant data protection laws or as far as we are legally bound to as the result of a court order.

Personal data made available by you will be recorded, processed, and used by us to reply to your enquiries, to process your requests, or to provide access to certain information or offers.

To maintain customer relations, it may also be necessary for us, or for a service provider commissioned by us, to record, process, and use personal data to inform you of product offers that are useful for your business activities or to carry out online surveys to be in a better position to fulfill the requests and demands of our customers.

Personal data will not be disclosed to third parties without your consent. We will neither sell personal data to third parties nor market it elsewhere.

Newsletters

Should we make a newsletter available that you register for, we will record, process, and use only personal data and details that were provided voluntarily. By registering for the newsletter, you agree to these terms. You can cancel your subscription to the newsletter at any time by using the unsubscribe link at the end of every newsletter.

Once you have registered for the newsletter, we will send you a confirmation e-mail. In this e-mail, you will find a link to confirm your registration. Only after this link has been clicked will your data be used for advertising and marketing purposes.

Contact / Contact form

Should you contact us via the contact form, we will record and process only those details that you enter into the fields on the screen. We will use this data to provide you with the information desired or to carry out the services requested by you (e.g. support and advice on our product portfolio).

Registration protected access area

If we provide a protected access area on our Internet pages and you log in to this area, we will record, process, and use your personal data for tracking and evaluating your visit without making the data anonymous. By registering, you give your consent. You can deactivate your account by sending a message to this effect to the e-mail address shown under the navigation point titled ‟Contact."

Storage period

Personal data that has been communicated to us via our Internet pages will be stored until the purpose for which it was entrusted to us has been fulfilled. Should trading and tax-based retention periods need to be observed, or should applicable privacy legislation require that we store certain personal data, we will store such information only for the amount of time that is required.

Non-identifying data that you provide to us voluntarily

We may also collect information about you that is not personally identifiable. This type of information includes your age, gender, postal code, area code, interests, and preferences. We will not collect any such information about you unless you provide it to us voluntarily. We may share this information in the aggregate with advertisers, business partners, sponsors, and other third parties. This data is used to customize the content on our Internet pages. We will also use the data to make visits to the Internet pages easier, quicker, and better for you and our other users.

Non-identifying data that is recorded automatically

When our Internet pages are used, the following data is stored for organizational and technical reasons: the names of the pages accessed by you, the name of the browser used by you, the name of your operating system, the date and the time of access, the search engine used by you, the names of files downloaded by you from our pages and your IP address.

We will collect and process this technical data anonymously and for statistical purposes only to further optimize our Internet presence and to design our Internet services in an even more attractive way. This anonymous data will be stored separately from personal data on secured systems and will not be connected to your personal identity. Your personal data and your privacy will be protected at all times.

Cookies

a) What exactly are cookies?

Cookies are small pieces of information which are stored on your computer, tablet, or mobile phone when Internet pages are visited and which, in general, are used for a more effective design of Internet pages. Some cookies (Session Cookies) are deleted automatically when the browser is closed, others (Persistent Cookies or Tracking Codes) are archived on the corresponding hardware until a certain expiration date or until the temporary memory of your browser has been exhausted. Tracking Codes enable us to identify you as a repeated visitor to our Internet pages. The majority of Internet browsers accept cookies automatically. b) Why do we use cookies?

We use cookies to:

  • guaranteea secure Internet environment; and
  • check our website performance and improve the user-friendliness as well as the online experience of our customers.

We do not use cookies to track your Internet activities outside of the Internet pages maintained by us.

The following types of cookies are used by us to improve our evaluation of the way our online services are used by our customers and to configure our services in a better way. As a result, we can recognize, for example, when a process is too complex and the users discontinue the process for that reason. With this knowledge, the process can be simplified and configured in a more customer-oriented manner.

c) Which types of cookies exist?

Type of cookie Intended purpose
Session Cookies Are deleted after the browser has been closed. Serve to capture the navigation and the dwell time on the Internet pages and to keep your login active during the session.
Tracking Codes Do not contain any personal data. Capture from where the page view has taken place, which search engine has been used, which link has been clicked, which key word has been selected, and pinpoints the location of the user at the time of the page view. Capture the number of visits as well as the duration of the first, the current, and the previous visit. These cookies only record visits to the Internet pages maintained by us and are not activated during visits to other Internet pages.

 

You can delete our cookies. In this case, however, your individual data and content, including your cookie settings, will be lost and you will not be recognized as a returning visitor when you next view our Internet pages.

d) Do you accept our cookies?

We provide some online features to you which should make your visit to our Internet pages as comfortable as possible. However, these only function with the support of cookies. Please note  that, for an unhindered navigation on our Internet pages, several ‟basic" cookies are indispensable. In addition, these cookies are only used by us to check the efficiency of the Internet pages and to capture visitor frequency.

Analysis software Piwik

Our Internet pages use Piwik, an open source software for the statistical evaluation of visitor hits. Piwik uses so-called ‟cookiesˮ, text files which are saved on your computer and which make it possible to analyse your use of the Internet pages. The information generated by the use of this Internet support is stored on our servers in Germany. The IP address is made anonymous immediately after processing and before it is stored.

You can prevent the installation of the cookies by means of a corresponding setting of your browser software; however, we would like to point out that, in this case, you may possibly not be able to make use of all the functions of our Internet pages to their full extent. (see Objection to Piwik.)

Attention: If you delete your cookies through your browser, this will result in the deletion of the opt-out cookie as well.

Objection to Piwik

Integration of services and contents of third parties

Within this online service, the content of third parties, such as videos from YouTube, map material from Google Maps, RSS feeds or graphics may be integrated from other Internet pages.

It is likely that the providers of this external content (in the following section, these providers will be called ‟third party providers”) will detect the IP address of users. Without detecting the IP addresses of users, the third party providers cannot send the relevant content to the browser of the respective user. The identification of your IP address is therefore necessary for the presentation and use of this content.

Google Maps

Our Internet pages use the Google Maps API to present geographic information visually. When using Google Maps, data on the use of the Maps functions by visitors to the Internet pages is recorded, processed, and used by Google (Google Ireland Limited, Gordon House, Barrow Street, Dublin 4, Ireland). More detailed information on the processing of data by Google can be found in the Data Protection Policies of Google which you can access at http://www.google.com/intl/en_en/help/terms_maps.html.

Information storage

Some or all of the personal data that we collect may be stored or processed on servers located in Germany, whose data protection laws may differ from the jurisdiction in which you live. Subject to applicable laws in such other jurisdictions, we will use reasonable efforts to ensure that appropriate protections are in place to require the data processor in that jurisdiction to maintain protections on the personal data that are equivalent to your jurisdiction in Canada. Information sent to another jurisdiction may still be accessed by Canadian law enforcement, courts, or national security personnel. By accessing our Internet pages you consent to the disclosure of personal data as disclosed by this section.

Security

We have taken technical and organizational security measures to protect your personal data against loss, destruction, manipulation, and unauthorized access. Unfortunately, no data transmission over the Internet can be guaranteed to be secure. As a result, while we strive to protect your personal data, we cannot ensure or warrant the security of any information you transmit to us or from our online products or services, and you do so at your own risk. However, once we receive your personal data, we will take reasonable efforts to ensure its security on our systems.

Amendment of our data protection regulations

We reserve the right to amend our security and data protection measures, with no obligation to provide notice of such changes, insofar as this is required as a result of technical development. In these cases, we will also amend our data protection policy correspondingly. Please ensure that you refer to the most current version of our data protection policy.

By using our Internet pages, you signify your consent to our data protection policy. If you do not agree with our data protection policy, please do not use our Internet pages. Your continued use of the Internet pages following any changes to the terms of the data protection policy means you accept those changes.

Links

Should you use external links which are available within our Internet pages, these links are not covered by our data protection policy. When we provide external links, we endeavour to ensure that these external parties also observe our data protection and security standards, but we have no influence on the observance of the data protection and security regulations used by other providers. For this reason, please refer to the data protection policies of these other providers.

Right to information and right of objection (affected rights)

If you have any questions concerning the recording, processing, and use of your personal data by IREKS, we will be glad to give you information free of charge and without delay on the data stored in regard to your person.
